Terms of Participation Scope Community Mixer Warsaw
I. Organiser and Scope
- These Terms and Conditions of Participation apply to participation in the “Scope Community Mixer” event.
- The organiser of the event is:

hereinafter referred to as the “Organiser”. - The event is intended exclusively for entrepreneurs within the meaning of section 14 of the German Civil Code (Bürgerliches Gesetzbuch, “BGB”) and legal entities under public law. Registrations may be made solely for commercial or independent professional purposes. Consumers are not eligible to participate.
- The natural person registered to attend the event is hereinafter referred to as the “Participant”.
- Where the registration is submitted by another person or on behalf of a company or other organisation, the person submitting the registration represents and warrants that they are duly authorised to make the registration and are legally entitled to provide the Organiser with the Participant’s personal data required for the registration.
II. Registration and Formation of the Participation Agreement
- Registration must be made via the event website at https://info.riege.com/scope-community-mixer-november-3-2026-in-warsaw.
- The presentation of the event on the event website does not constitute a binding offer to enter into a participation agreement. By submitting the registration form, the person submitting the registration makes a binding offer to enter into a participation agreement in respect of the registered Participant.
- The participation agreement is not concluded until the Organiser issues a separate registration confirmation. An automated acknowledgement of receipt does not constitute acceptance of the offer unless it is expressly designated as a registration confirmation.
- The number of available places is limited. The Organiser is under no obligation to accept a registration. Registrations may be accepted in the order in which they are received or on the basis of objective selection criteria relating, in particular, to the purpose and intended audience of the event.
- Registrations are personal and may not be transferred to another person without the Organiser’s prior consent. If a Participant is unable to attend, a substitute participant may be proposed to the Organiser. The Organiser may reject the proposed substitute participant on reasonable grounds, including where that person does not fall within the intended audience of the event or is excluded from participation pursuant to Section VIII.
- Once the available participant capacity has been reached, the Organiser may maintain a waiting list. Inclusion on the waiting list does not confer any entitlement to participate.
- All information provided during registration must be complete and accurate. Any changes that are material to the organisation of the event or the Participant’s eligibility to participate must be notified to the Organiser without undue delay.
III. Free Participation and Participants’ Expenses
- Participation in the event is free of charge.
- Unless expressly agreed otherwise in writing, Participants and the registering companies or organisations shall bear all costs incurred in connection with participation in the event. This applies in particular to travel, accommodation and parking costs, the cost of meals and refreshments not expressly included in the event, and any other personal expenses.
IV. Cancellation by the Participant
- If a Participant is unable to attend the event, the registration should be cancelled as early as possible using the cancellation facility provided by the Organiser or the contact details specified in the registration confirmation.
- Participants will not be charged for cancelling their registration.
- The Organiser may reallocate any place that becomes available, including to a person included on the waiting list.
- The Organiser may exclude a person who repeatedly fails to attend confirmed events without prior cancellation from registering for future events, provided that such exclusion is reasonable in light of the relevant circumstances.
V. Programme Changes, Relocation, Postponement and Cancellation by the Organiser
- Information concerning the event, including its programme, speakers, workshops, schedule, rooms and other organisational details, reflects the state of planning at the time of publication.
- The Organiser may make reasonable changes to the event programme, replace speakers, change the order or timing of individual programme items, reallocate rooms, or cancel individual programme items or workshops, provided that this does not materially impair the overall character or purpose of the event.
- The Organiser may postpone the event or change its format, including by converting an in-person event into an online or hybrid event, where there are objectively justified grounds for doing so and the change can reasonably be accepted by the Participants.
- The Organiser may cancel the event if the minimum number of participants required for the event to be conducted in an economically and organisationally reasonable manner has not been reached. To the extent reasonably possible, the Organiser will give notice of a cancellation on these grounds no later than 30 days before the scheduled commencement of the event.
- The Organiser may also postpone the event, relocate it to another venue, change its format or cancel the event where circumstances beyond the Organiser’s reasonable control prevent, materially impede or renderunreasonable the event’s planned implementation.
Such circumstances may include, in particular, orders issued by public authorities, the unavailability of the event venue, natural disasters, war, civil unrest, acts of terrorism, serious threats to public safety, epidemics, pandemics, major transport disruptions, energy supply failures, lawful industrial action, or the failure of an essential service provider, provided that the Organiser could not reasonably have prevented the relevant circumstances or replaced the affected service provider at reasonable cost and effort. - The Organiser will inform registered Participants of any cancellation, postponement, relocation or change to the event format as early as reasonably possible in the circumstances. The notification will be sent using the contact details provided during registration and, where appropriate, will also be published on the event website.
- Unless the Organiser is liable pursuant to Section XI, the Organiser will not reimburse any travel, accommodation, parking or other expenses incurred by a Participant, a registering company or any other registering organisation in connection with the event. This also applies to any losses or expenses resulting from a programme change, postponement, relocation, change to the event format or cancellation permittedunder these Terms and Conditions of Participation.
VI. Admission and Access to the Event
- Admission is restricted to Participants whose registration has been confirmed by the Organiser. The Organiser may require the Participant to present the registration confirmation and valid proof of identity.
- Registration confirmations, admission credentials, name badges and access codes are personal. They may not be transferred or made available to any third party without the Organiser’s prior consent.
- The Organiser may refuse admission where:
a. the Participant’s identity cannot be verified;
b. information provided during registration is materially inaccurate;c. the Participant does not satisfy the eligibility requirements stipulated in these Terms and Conditions of Participation; or
d. there are other reasonable grounds justifying the refusal of admission. - Participants must comply with all applicable safety, security and access requirements and with the reasonable instructions of the Organiser, the operator of the event venue and their respective personnel.
VII. Conduct, Venue Rules and Exclusion from the Event
- Participants must conduct themselves in a manner that does not interfere with the proper conduct of the event. In particular, Participants must not:
a. engage in any sales, advertising or recruitment activities without the Organiser’s prior consent;
b. distribute unauthorised promotional materials; orc. materially disrupt the event or fail to comply with the reasonable instructions of the Organiser, the operator of the event venue or their respective personnel. - The house rules of the relevant event venue shall apply in addition to these Terms and Conditions of Participation. - In the event of a material or repeated breach of these Terms and Conditions of Participation, the applicable house rules or the reasonable instructions of the Organiser or the operator of the event venue, the Organiser may exclude the Participant from further participation in the event.
VIII. Exclusion of Competitors
- Unless expressly invited or approved by the Organiser, persons and companies that directly compete with the Organiser or any company affiliated with the Organiser in relation to the development, provision or distribution of software products or services that directly compete with the Organiser’s products or services are not permitted to participate in the event.
- This exclusion also applies to legal representatives, employees, agents and other persons who attend the event on behalf of, or predominantly in the interests of, such a competitor.
- The exclusion does not apply to companies or persons expressly invited or admitted by the Organiser as customers, partners, sponsors, exhibitors, speakers or cooperation partners. This applies even where individual areas of their business activities overlap with those of the Organiser.
- The Organiser may reject a registration or revoke a registration confirmation already issued where there are specific and objectively verifiable grounds for concluding that the Participant or the registering company falls within paragraph 1 or paragraph 2 above.
- If a competitive relationship becomes apparent only after admission to the event, the Organiser may exclude the Participant from further participation. The Participant may be required to leave the event venue and return or surrender any admission credentials provided to them.
IX. Photographs and Video and Audio Recordings
- The Organiser or service providers engaged by the Organiser may take photographs and make video and audio recordings during the event for the purposes of documenting and reporting on the event and for public relations and corporate communications purposes.
- Further information concerning the purposes of processing, the applicable legal bases, recipients, retention periods and the rights of data subjects is set out in the Organiser’s Privacy Notice, which is available at https://www.riege.com/privacy-policy.
- Participants will be appropriately informed that photographs, video recordings or audio recordings are being made. Such information may be provided, in particular, during registration, by notices displayed at the event venue, or by appropriately identifying the photographers and camera crews deployed at the event.
- Participants who do not wish to be photographed or recorded should notify the Organiser or the designated photography or camera team. The Organiser will take reasonable organisational measures to respect such a request. This applies in particular to individual photographs and recordings in which specific persons are prominently featured.
- Close-up or individual photographs, interviews, personal testimonials or other recordings specifically focused on an identifiable individual may, where legally required, be made subject to a separate agreement or the individual’s consent.
- Participants may not make audio or video recordings of presentations, workshops or other event content without the prior consent of the Organiser and, where required, the relevant speaker.
X. Data Protection
- The Organiser processes personal data in connection with registration for, organisation and conduct of the event, communication with Participants, access control and participation in the event in accordance withapplicable data protection law.
- Details of the processing of personal data are set out in the Privacy Notice for the event, which is available at https://www.riege.com/privacy-policy.
- Personal data will not be disclosed to event partners, sponsors or other Participants for their own marketing purposes unless there is an appropriate legal basis for such disclosure and the data subject has been duly informed about the relevant processing.
XI. Liability
- The Organiser shall be liable without limitation for any loss or damage caused intentionally or through gross negligence by the Organiser, its legal representatives or its vicarious agents.
- The Organiser shall also be liable without limitation for loss or damage arising from an intentional or negligent injury to life, limb or health caused by the Organiser, its legal representatives or its vicarious agents.
- In the event of a slightly negligent breach of a material contractual obligation, the Organiser’s liability shall be limited to the loss or damage that is typical for the contract and was reasonably foreseeable at the time the participation agreement was concluded. A material contractual obligation is an obligation whose performance is essential for the proper implementation of the participation agreement and on whose performance the Participant may ordinarily rely.
- To the extent that the Organiser is not liable under paragraphs 1 to 3 above, liability for slight negligence is excluded.
- Liability under mandatory statutory provisions remains unaffected.
- The limitations of liability set out in this Section XI shall apply accordingly for the benefit of the Organiser’s legal representatives, employees, agents and vicarious agents.
- The Organiser assumes no obligation to safeguard personal belongings brought to the event by Participants. Liability for the loss of or damage to personal belongings shall be governed by the preceding provisions of this Section XI.
XII. Intellectual Property and Event Content
- Presentations, materials, software demonstrations, images, videos and other event content may be protected by copyright, trade mark rights or other intellectual property rights.
- Participation in the event does not grant the Participant or the registering company any right to reproduce, publish, distribute, make publicly available, commercially exploit or otherwise use event content. This does not affect any use permitted under mandatory statutory provisions or expressly authorised by the relevant right holder.
- Materials made available to Participants may be used for the internal business purposes of the registering company or organisation unless otherwise stated when the relevant materials are provided.
- Product plans, roadmaps, demonstrations and other information marked or expressly designated as confidential may not be disclosed to third parties or used for purposes unrelated to the business relationship with the Organiser without the Organiser’s prior consent.
XIII. Governing Law and Jurisdiction
- These Terms and Conditions of Participation and the legal relationship arising from or in connection with registration for and participation in the event shall be governed by the laws of the Federal Republic of Germany, excluding the United Nations Convention on Contracts for the International Sale of Goods of 11 April 1980.
- If the registering company or organisation is a merchant, a legal entity under public law or a special fund under public law, the courts having jurisdiction at the Organiser’s registered office shall, to the extent permitted by law, have exclusive jurisdiction over all disputes arising out of or in connection with the participation agreement or the event.
XIV. Final Provisions
- Individually negotiated agreements between the Organiser and the Participant or the registering company or organisation shall take precedence over these Terms and Conditions of Participation.
- If any provision of these Terms and Conditions of Participation is or becomes invalid or unenforceable, in whole or in part, the validity of the remaining provisions shall remain unaffected. The invalid or unenforceable provision shall be replaced by the applicable statutory provisions.
